Introduction

This document (the "Event Terms") outlines the conditions under which we provide our educational services, including in-person courses, workshops, materials, features, and other related offerings available at dentcof.com/courses (collectively, the "Services"). Please read these Event Terms carefully as they address key legal aspects of the relationship between you and us.

These Event Terms, along with any other terms, policies, notices, and disclaimers we make available or communicate to you through the Services, form a binding agreement (the "Agreement"), the terms of which you must accept in order to benefit from the Services.

Offline Agreements: If you have a separate signed agreement with us for our Services, the terms of that offline agreement will govern your use of the Services where it explicitly applies. If the offline agreement does not address certain aspects, or if any conflicts arise, the terms of this Agreement will apply to cover any gaps or resolve inconsistencies as long as they do not contradict the specific terms of the signed agreement.

1. Contracting parties

When we say "we" or “Dentcof”, we mean Dentcof Research SRL, a company headquartered in Timisoara, Calea Aradului, no. 8, 5th floor, sole identification number J2010002080355.

When we say "you", "your", or “Customer” we refer to the individual or organization entering into this Agreement. If representing an organization, please ensure you are an authorized representative capable of entering into the Agreement. If you are acting as an individual, you alone are bound by this Agreement.

Together, we form the “Parties” to the Agreement.

Event Terms Acceptance. By registering for or attending any Dentcof event, whether in-person or online, you accept these Event Terms and acknowledge our Privacy Policy. If you do not agree with any part of these terms, please do not register for or attend our events.

2. Registration

Fees

Participation in Dentcof events may either be free of charge or require a participation fee, depending on the specific event. Details regarding any applicable fees, including taxes and other charges, will be provided in the event order form. It is important to review the order form carefully to understand the full cost of participation.

Payment

Payment for event participation, if required, must be made via credit or debit card. Payments will be processed securely through our designated payment processor. Please ensure that your payment information is accurate and up-to-date to avoid any delays or issues with your registration. Payment via bank transfer may also be offered for select events or bulk purchases. Please contact our customer support team.

Delivery

Purchase confirmation and event participation details will be delivered digitally to the email address provided during registration. Please ensure that your email address is accurate and up-to-date to avoid any delivery issues. Generally, you should receive purchase confirmation promptly and event participation details within 48 hours of completing your registration.

General Policy for Cancellation by Participants

If cancellation by participants is allowed for a Dentcof event, the following general policy applies:

Cancellation Requests: Participants wishing to cancel their registration must submit a cancellation request in writing via email to the event support team at least 60 days prior to the event start date.

Refunds: If the cancellation request is received by the specified deadline, participants may be eligible for a full or partial refund of the registration fee. The exact refund amount and any applicable processing fees will be detailed in the event order form.

Late Cancellations: Cancellation requests received less than 30 days before the event start date may not be eligible for a refund. Exceptions may be made at the discretion of Dentcof in cases of emergency or extenuating circumstances.

No-Show Policy: Participants who do not attend the event and have not submitted a cancellation request will not be eligible for a refund.

Transfer of Registration: Transfers of registration are generally not permitted, but exceptions may be made. The new participant must meet all attendance requirements. Please contact customer support at least 14 days prior to the event.

Exchange

If the event allows for ticket or registration exchanges, the process and any associated fees will be described in the order form. Exchanges may be subject to availability and specific conditions set by us.

3. Attendance

General Requirements

To attend a Dentcof event, whether in-person or online, participants must meet the following requirements:

Registration: You must complete the registration process as outlined in Section 2. Only registered participants will be granted access to the event.

Identification: For in-person events, valid identification may be required at check-in to verify registration.

Online Events: By participating in a Dentcof online event, you agree to use the designated virtual platform according to its terms of service and guidelines, and you are responsible for ensuring your internet connection and device meet the necessary requirements. Access to the online event is restricted to registered participants only, and you must maintain the confidentiality of your access credentials; sharing them is strictly prohibited and may result in immediate removal. Dentcof will provide limited technical support but is not responsible for individual technical issues, including connectivity problems, device compatibility, or user errors.

Code of Conduct

Dentcof aims to create a secure and productive environment for all event participants. To ensure a positive experience for everyone, please follow these guidelines:

Do's:

  • Be courteous and respectful to all participants, including attendees, speakers, organizers, and staff.

  • Participate in event activities, sessions, and discussions in a constructive and professional manner.

  • Keep personal information and content shared during the event confidential.

  • Comply with local laws, as well as rules set by the event venue and virtual platform, including health and safety guidelines and terms of service.

  • Report any violations of the Code of Conduct to event staff immediately.

Don'ts:

  • Avoid any form of harassment, including offensive comments, intimidation, stalking, inappropriate physical contact, and unwelcome sexual attention.

  • Do not monopolize discussions or disrupt sessions. Allow space for all voices to be heard.

  • Do not record or photograph sessions or participants without prior authorization. Do not reproduce or distribute event content without permission.

  • Do not share personal information or content from the event without explicit permission.

  • Avoid inappropriate language, gestures, or attire that could be disruptive or offensive.

Privacy

Dentcof values your privacy. By attending our events, you acknowledge our Privacy Policy, which details how we process your personal information.

Data Sharing for Co-Branded Events. For co-branded events, we may share your personal data with our event partners in accordance with our Privacy Policy, for purposes related to the event.

Security

Ensuring the safety and security of all attendees is a priority for Dentcof. Security measures include:

Event Access: Access to the event will be restricted to registered participants. For in-person events, this may include controlled entry points and badge requirements.

Safety Protocols: Follow all safety instructions provided by event organizers and venue staff. Report any security concerns to event personnel immediately.

Health and Safety: Adhere to any health and safety guidelines in place, emergency procedures, and on-site medical assistance availability.

Accessibility

Dentcof is dedicated to providing accessible events for all participants. While we strive to accommodate individuals with disabilities or special needs, we cannot guarantee that all venues will offer full accessibility features. Therefore, we encourage you to check the event details for information on accessibility features specific to each venue. If you have any specific requirements, please contact us in advance, and we will make every effort to assist you within the limitations of the venue's facilities.

4. event

LChanges and Cancellation

Dentcof reserves the right to make changes to the event schedule, speakers, venue, and other aspects of the event as necessary. While we strive to minimize changes, circumstances may arise that require modifications.

Event Changes: We will make every effort to inform you of any changes in a timely manner. Please ensure that the contact information provided during registration is accurate and up-to-date to receive notifications.

Event Cancellation: If an event is canceled by Dentcof, registered participants will be offered a refund or the option to transfer their registration to a similar future event, if applicable.

Forward-Looking Statements

During our events, speakers may make forward-looking statements that reflect their current views regarding future events, projections, and potential developments. These statements are based on current expectations and assumptions and are subject to risks and uncertainties. Due to various factors, actual outcomes and results may differ materially from those expressed in forward-looking statements.

Disclaimer: Dentcof and its representatives do not assume any obligation to update or revise any forward-looking statements made during the event, whether as a result of new information, future events, or otherwise.

Investment and Professional Advice: Forward-looking statements do not constitute advice of any kind, including financial, legal, or medical advice. Participants should seek professional advice before making decisions based on information presented during the event.

Purchasing Decisions: You should not purchase any products or services based on forward-looking statements. Purchases should only be made based on what is currently offered and available.

Risks

Participation in Dentcof events involves certain risks, which you voluntarily assume. These risks may include, but are not limited to risks associated with travel, exposure to illness, physical activities and other such risks related to in-person events, risks related to internet connectivity, data privacy, the use of third-party platforms for event access and other such risks related to online events. By attending a Dentcof event, participants acknowledge and accept these risks. You are responsible for your own safety and well-being during the event.

5. Intellectual Property

Content Ownership

All content provided during Dentcof events, including presentations, materials, software, and documentation, is the intellectual property of Dentcof or our licensors. This includes, but is not limited to, written content, visual materials, audio recordings, and any other proprietary information shared during the event. As necessary, you may be granted a limited, non-exclusive, non-transferable license to access and use the content for personal, non-commercial purposes. You are prohibited from copying, distributing, publicly displaying, or otherwise exploiting the content provided at the event without prior written consent from Dentcof or the appropriate rights holder.

Recording

Organizer Recordings: Dentcof and its authorized third parties may photograph, record audio and video, webcast, podcast, or transmit any part of the event, capturing your image, likeness, voice, statements, and other identifying characteristics. By attending, you grant Dentcof a worldwide, royalty-free, non-exclusive, perpetual, irrevocable, transferable, and fully sublicensable license to use, reproduce, distribute, perform, display, create derivative works of, adapt, and otherwise exploit these recordings for any purpose, including promotional, educational and commercial uses, without additional consideration. Dentcof exclusively owns all rights, title, and interest in these recordings and any proceeds derived therefrom, with no obligation to share with you. You waive any rights to inspect or approve the use of recordings or their reproductions and release any claims related to their use, including intellectual property, rights of publicity, and privacy. Recordings may be publicly available, and Dentcof is not responsible for third-party use or misuse.

Attendee Recordings: You are generally prohibited from recording or photographing the event without prior authorization, except for personal, non-commercial use with explicit permission. Unauthorized recording or photography may result in removal from the event and potential exclusion from future events, with further legal action possible. By participating, you agree to comply with these policies.

6. Miscellaneous

Limitation of Liability

Dentcof's liability in connection with the Event Terms and all other matters related to the event is limited to the amount of the event fees, if any, that you have paid and Dentcof has received.

Indemnification

By participating in a Dentcof event, you agree to indemnify, defend, and hold harmless Dentcof and its affiliates, officers, employees, agents, and partners from and against any and all claims, liabilities, damages, losses, costs, expenses, or fees (including reasonable attorneys' fees) that may arise from your use of the event materials, violation of these Event Terms, or infringement by you or any third party using your registration of any intellectual property or other right of any person or entity.

Termination and Survival

Dentcof reserves the right to terminate your access to the event and these terms at any time, without notice, for any reason, including but not limited to, your breach of these terms. Upon termination, all rights granted to you under these terms will immediately cease. The following sections shall survive termination: Limitation of Liability, Indemnification, and any other provisions that by their nature are intended to survive termination.

Disputes and Applicable Law

Any dispute in connection with these Event Terms shall be resolved amicably. If we fail to reach an agreement on the dispute within a period of 30 days, it shall be finally settled by the competent courts. The contract is governed by Romanian law. The courts of Timiș County will be competent to judge any disputes related to the Contract.
